Terms of Booking
1. Ensure there is access to a plug socket close to the setup point.
2. Please ensure there is sufficient space at your venue to set up the photo booth (2.5m (W) x 2.5m (L) x 2m (H) minimum)
3. Please ensure there is clear access to load and unload at the venue.
4. Please inform us of any circumstances that would make setting the booth up more demanding, including going upstairs, long distances from the unloading area to the venue etc. We allocate a set period of time for setting up our equipment at your venue which is included within your price, but if there are any complications that are not made known to us beforehand then, unfortunately, this will come out of the run time.
5. In the event that the Memory Pod is not ready to start at the agreed time due to our own fault then we commence the full X hour hire at the earliest moment. If we’re delayed in setting up due to outside influences we will do our best to be ready as per the agreed start time. We regret, if we do overrun the start time due to no fault of our own then this will come out of the X hour hire period
6. The Memory Pod cannot be held responsible for any circumstances that may prevent us from attending your event, these may include but are not limited to severe weather conditions, traffic delays, breakdown of our vehicles, sickness or equipment failure. In the case that we cannot attend or fulfil your hire due to events beyond our control, we will contact you or the venue as soon as possible. In these instances, our liability will be limited to refunding all of the monies paid. In the event of equipment failure during your booking, you will be refunded an amount based on how much of the booking was completed.
7. The Memory Pod agrees to have a Photo Booth operational for a minimum of 90% during this period; operations may need to be interrupted for maintenance of the Photo Booth.
8. A deposit is required at the time of booking a photo booth, the remaining balance is due one calendar month prior to your event.
9. We must be notified of any date change as soon as you’re able to. In the event of your date being available, there will be no further charges. If we’re unable to accommodate the date change then you will forfeit your deposit. If the date change is less than 14 days to your date, additional fees may incur but be no greater than 50% of the cost of the booking.
10. Should the event be cancelled through no fault of our own a refund will be provided minus any deposit paid.
11. If the operator uses the equipment for a time period in excess of the service period agreed to overleaf, the overage in rental time will be billed to the operator at the following rates: £100 per hour. Payment for any overage in time must be paid before additional hours are provided.
12. The Memory Pod will not tolerate any abuse or threatening behaviour to our staff. If this does occur we are within our right to terminate the hire. If the staff on duty feel it’s appropriate they will issue a warning in the first instance. If it continues, they will shut down and remove the Memory Pod without further notice. In this event, no refunds are applicable.
13. The Memory Pod are also within their right to terminate a hire if they feel that any equipment or property belonging to the Memory Pod is in danger of getting damaged or has been damaged due to unruly behaviour from guests. We also reserve the right to refuse guests admission into the photo booth if we feel they are too unruly.
14. In any instances where we feel there is a need to terminate the hire due to any reason, the full cost of hire is still payable and we will not issue any refunds for hire time that has been cut short.
15. The Memory Pod may use any of the photographs from your event for suitable means, this includes but is not limited to advertising and promotional material either in print or on the internet. Attending your event would mean we are of the understanding that permission has been granted to do so by yourselves and your guests.
16. The Memory Pod retains all rights for images taken within the photo booth.
17. Unlimited prints mean a print per person in a single group plus one further print for the guestbook. An example of this would be a group of 5 enter The Memory Pod, all 5 will get a copy of the print after the series of photos have been taken along with one additional print for the Guest Book.
18. Your booking is not confirmed until you receive a booking confirmation email from us and the deposit has been paid.
19. Our photo booths are for indoor use only, unless discussed with ourselves before hiring. If we are required to operate outside, we will need access to one mains power socket and there must be a completely flat & level surface within a marquee.
20. If the acting member of staff feels our props are being subject to damage by your guests we reserve the right to remove all props without notice.
21. The hirer(s) will be pursued for reimbursement on any item or part of the Memory Pod if it has been damaged due to abuse during an event.
22. By making the deposit payment, we will mark that you agree to all of our Terms and Conditions.
